1. Who we are
FixTribeSA provides computer repairs, IT support, networking installations, smart technology support, remote support and computer skills testing/training services in South Africa.
For POPIA purposes, FixTribeSA may act as a responsible party when we decide why and how personal information is processed. In some client projects, we may also act as an operator when processing information strictly on behalf of a client.
2. Information we collect
Depending on the service requested, we may collect and process the following personal information:
- Name, surname, company name and job title.
- Contact details such as cellphone number, WhatsApp number, email address and physical/service location.
- Device details such as computer make/model, serial numbers, operating system, fault descriptions and repair history.
- Information submitted through website forms, WhatsApp messages, email requests, Microsoft Forms assessments or booking links.
- Assessment-related information such as candidate name, employer/client name, answers, scores, recommendations and assessment report notes.
- Technical information needed for support, such as screenshots, error messages, system details, network information or remote-support session details.
- Billing and payment-related records, where applicable.
We try to collect only the information that is necessary for the service, support request, assessment, quote, booking, repair or legal/business record.
3. Why we use personal information
FixTribeSA uses personal information for legitimate business, support and service purposes, including:
- Responding to enquiries, quotes, bookings and service requests.
- Diagnosing and repairing computers, laptops, networks, printers, CCTV, smart devices and related systems.
- Providing remote IT support, including guiding clients through AnyDesk or similar support tools.
- Administering computer skills tests, training sessions, candidate assessments and client reports.
- Preparing invoices, service records, support notes, reports and recommendations.
- Following up with clients about completed work, outstanding issues, future support or service improvements.
- Protecting FixTribeSA, its clients, systems and users against fraud, misuse, security incidents or unlawful activity.
- Complying with applicable legal, accounting, tax, regulatory and contractual obligations.
4. Computer skills assessments and Microsoft Forms
FixTribeSA may use Microsoft Forms or Microsoft 365 services to deliver online assessments. When a candidate starts an assessment, information may be processed through Microsoft systems as part of the form submission and reporting process.
Assessment results may be shared with the paying client, employer, recruitment contact or authorised person who requested the assessment. This may include candidate name, answers, score, practical skill rating, risk notes and a hire/training recommendation.
Candidates must use their correct name and details so that reports are accurate. Access links and access codes should not be shared with unauthorised people.
5. Repairs, devices and remote support
When FixTribeSA works on a device, system or network, we may temporarily see files, folders, account names, software, email settings, network paths, device names or other technical information. We will only access what is reasonably required to diagnose, repair, recover, configure or support the requested issue.
Clients should back up important files before repairs where possible. Clients should also remove, secure or disclose highly sensitive material before handing over a device if that material is not relevant to the repair.
For remote support, the client remains responsible for granting access and should close private documents or windows before the session starts. FixTribeSA will not intentionally copy, browse or retain private files unless this is required for the agreed service, backup, recovery or investigation task.
6. When we share information
FixTribeSA does not sell personal information. We may share limited information only where needed, including with:
- Authorised FixTribeSA technicians, contractors or service providers assisting with a support task.
- Clients/employers who requested and paid for candidate assessments.
- Software and cloud providers used to deliver services, including email, forms, hosting, remote support and business administration tools.
- Courier, supplier, warranty or repair partners where required for parts, replacements or technical support.
- Law enforcement, regulators, courts or legal advisers where required by law or necessary to protect rights and security.
7. Security and retention
We apply practical technical and organisational safeguards to protect personal information against unauthorised access, loss, misuse or disclosure. These safeguards may include restricted access, password protection, careful handling of client devices, secure storage of reports and limiting access to people who need it for their work.
Personal information is kept only for as long as reasonably needed for the service, support history, reporting, legal, tax, warranty, dispute-resolution or business-record purpose. When information is no longer needed, we will delete, archive or de-identify it where practical.
No website, email, remote support tool or online form can be guaranteed 100% secure. Clients must also take reasonable care with passwords, access codes, devices and sensitive information.
8. Your POPIA rights
Subject to applicable law and verification of identity, you may request to:
- Confirm whether FixTribeSA holds your personal information.
- Access personal information that FixTribeSA holds about you.
- Correct or update inaccurate, outdated or incomplete information.
- Object to certain processing where the law allows.
- Request deletion or restriction of information where legally appropriate.
- Withdraw consent where processing is based on consent.
- Lodge a complaint with the Information Regulator South Africa if you believe your personal information has been processed unlawfully.
We may need to verify your identity before processing a privacy request to protect your information from being disclosed to the wrong person.
